Computers lead way as council cuts costs

HOT-DESKING and an electronic filing system are being introduced by York Council as part of a multi-million pound cost-cutting review.

The latest phase in the local authority's bid to shave at least 15m during the next three years is testing out new ways of working ahead of the long-awaited move to the council's new headquarters in 2012.

Staff working in the council's Mill House base are now able to log into any computer and phone and take their extension number, contacts and profile with them to whichever desk they are using at the time.

The hot-desking system is aimed at providing more flexibility and means that staff who are frequently out of the office do not have a desk left unused while they are away.

The majority of paper files used by the staff in the office have been scanned and are now stored electronically, saving storage space and paper.

York Council's executive member for corporate services, Coun Richard Moore, visited the offices last week to witness the trials of the new methods of working firsthand.

Coun Moore said staff seemed to be happy with the new arrangements. He added: "The council's current buildings are spread across the city and do not help staff to feel part of the larger organisation. Many are also old and unsuitable to upgrade to modern ways of working.

"This means that sometimes staff can feel isolated and information is not always shared between departments effectively. The new council headquarters will bring together staff currently spread around the city to a more central, more appropriate and efficient location.

"The office of the future trial is helping us shape how we will use the new headquarters to make the best use of the new facilities."
